NIGHT DISPATCHER

For the Sumter, S.C. office

 

Responsible for coordinating and scheduling manpower and equipment for Service Division related jobs to meet customer’s quality and time requirements according to company policy with special emphasis on working safely and acquiring needed information from customers and sales personnel.  Coordinates with customer, sales and service personnel relating to all aspects of business to ensure timely and reliable service is provided.

 

Job Duties:

  • Answer calls from customers, salesmen, area managers, and site superintendents.  Coordinates and schedules equipment and manpower to meet customer requirements.
  • Prepares work orders and job packets; tracks timesheets from issue to return.  Maintains all required record keeping, including customer/job files and computer database.
  • Maintains schedule board for confirmed work from current ay up tone week in advance, including branch requirements and personnel and equipment status board.  Maintains documentation and calendar for all future work and all non-confirmed work, including branch requirements. Coordinates with area managers on equipment and manpower availability and daily needs.
  • Develops and maintains all relevant files.
  • Updates Sumter equipment utilization database daily.
  • Inspects Service vehicles and auxiliary equipment prior to departure and upon return to Sumter.
  • Coordinates with sub-contractors for additional manpower and equipment needs.
  • Coordinates with the maintenance department for needed repairs and servicing.
  • Maintains records on TIS fuel issued from on site diesel tank and procures diesel fuel from approved vendors.
  • Controls and tracks Service employee hours daily.  Logs service personnel arriving to and departing from Sumter office.  Reports employee time records to payroll weekly.
  • Maintains scheduled days off and vacation calendar.
  • Assigns job tasks to Service personnel who are working on shop time.
  • Maintains DOT log files and Sumter employee available hours database.
  • Secures per diem for crews and maintains Sumter per diem checkbook
  • Dispenses payroll checks.
  • Updates Sumter area phone list.  Issues and maintains pagers.                                                            
  • Maintains and coordinates with the Sumter area manager, a current employee training list for customer required orientations and other job requirements.     
  • Schedules drug tests and other health related tests for current and potential employees.
  • Issues and tracks (when applicable) standard PPE, specialized equipment, stock items and consumables required for Service crews.
  • Reviews and extends customer timesheets in preparation for invoicing.
  • Reviews and takes appropriate action on administrative issues as assigned by the Sumter area manager.
  • Writes and maintains the Standard Operating Procedure on all dispatch areas of concern.
  • Enforces all company SOP’s related to dispatch issues.  Documents and tracks verbal and written warnings to employees, per approved guidelines of the Disciplinary Action Plan.  Informs Sumter area manager of disciplinary issues daily.
  • Maintains surveillance and security over TIS Sumter premises and equipment during off duty hours.
  • Answers calls for Thompson Industrial Services during off duty hours.

 

Qualifications

  • High school diploma (tech skills a plus)
  • Excellent communication skills, verbal and written
  • Proficient computer skills (Excel, Word)
  • Able to work in a team environment with employees from all levels
  • Must have excellent organizational skills and able to juggle multiple tasks simultaneously
  • Must be flexible to meet changing deadlines and priorities
  • Able to handle high stress while being courteous and friendly to customers and other employees

 

Special Qualifications

  • Able to work 12 hour shifts to maintain coverage of phones at all times, including weekends. (Hours 6:00 pm – 6:00 am Monday thru Sunday.  Work 7 days – off 7 days.
  • Must have a working phone at home.
